The work had outgrown the way we managed it
HR Homestyle Projects works across residential renovations, landscaping and extensions in Clyde North and South East Melbourne. We had built the business through practical experience, quality work and referrals. As the projects grew, the way we managed the business behind them did not keep pace.
Customer details, quotes, active jobs and financial information lived on paper, in separate notes or in memory. We knew the work well, but we could not open one place and see the complete customer journey. That made it harder to know what needed attention and where an opportunity could be missed.
We needed more than a new website
Our first goal was to create a professional place where homeowners could see what we do and make an enquiry. It became clear that sending more enquiries into the same disconnected process would only add pressure. Before trying to increase the flow of work, we needed a better way to capture and manage it.
The website and the business system therefore had to be planned together. One would present our work to prospective customers. The other would give each new enquiry a clear place to go once it reached us.
One path from enquiry to payment
A website enquiry now enters our CRM automatically and becomes a visible opportunity in the sales pipeline. We can review it, follow it up and prepare a quote without rebuilding the same information in another place. When the quote becomes real work, the relevant customer and property details can carry into the project record.
From there, we can manage the project through its tasks and calendar, create invoices and track payments. The whole path is connected: website enquiry, sales pipeline, quote, customer and property, project, invoice and payment. That shared view matters more than any individual feature because it tells us what is happening across the business and where our attention is needed.
The system also supports everyday follow-up, reconnecting with older opportunities, review requests and recurring administration. It does not replace the personal relationship with a homeowner. It gives the repetitive work more structure so we can spend more time on projects and customer conversations.
A public face that matched the work
The operational work was only one half of the change. We also created a consistent brand, website and Google Business Profile, backed by original photography and video from completed and active projects. Prospective customers can now see our indoor, outdoor and landscaping work before starting a conversation.
That project library gives the website real proof instead of generic claims. It also means the public side and the operating side of the business connect. A homeowner can view the work, understand the services and send an enquiry that enters the same workflow we use to manage the next steps.

What changed day to day
From our side, the biggest change is visibility. We have seen more enquiries and bookings, saved time through connected workflows and reduced the chance of opportunities being overlooked. Those are our own observations rather than a set of published performance figures, and they were recorded while paid advertising had not launched.
We can now look at the business with a clearer understanding of what is active, what needs a response and what comes next. That gives us a stronger foundation for growth than adding lead volume before the basic operating journey is ready for it.

Why we chose one team
We worked with Visual State Studio, an in-house Melbourne team that could bring the brand, website, project photography and operating system together. That mattered because each part needed to support the same customer journey rather than becoming another disconnected piece of the business.
For another trade business in a similar position, our advice is simple. If the work is growing but the business still relies on paper and memory, connect the customer journey before adding more volume. Visual State Studio has documented our full project record for anyone who wants to see how the brand, website and operating system fit together.
